How AI Hub turned shadow AI into a measurable advantage.

A 487-person regulated financial services firm needed to get ahead of the EU AI Act, kill rampant shadow tool use, and turn ad-hoc training into a system. Here's how it went.

The before

Pre-AI-Hub, the picture was familiar: 19 different AI tools across the org with no clear list of who used what. ChatGPT consumer accounts paid on personal cards. A 47-page AI policy nobody had read past page 3. Annual training that 12% of the company had completed. And a Head of Compliance one EU AI Act audit away from a very bad week.

The rollout

Setup took 10 business days. We imported their tool list, mapped each one to a data-sensitivity tier, configured their five custom AI pillars, hooked up SAML SSO, and seeded the prompt library with 60+ prompts contributed by department heads in a single workshop. The Slack quiz went live on day 11.

The results, 90 days in

  • · 64% of headcount logging in weekly. Marketing and Engineering hit 80%+.
  • · 91% of the org has completed the EU AI Act track — up from 12% the year before.
  • · 47 employee-submitted ideas, 6 in the Building phase, 2 already Live.
  • · Shadow AI use down ~70% (measured by SSO-authenticated tool usage vs. expense reports).
  • · The Head of Compliance now sleeps.
"We tried to build this internally. After 4 months and one Notion page, we bought AI Hub. Live in a fortnight, and the Slack quiz is the most engaged channel we have."
